Create and manage payment links
A payment link is a reusable URL your customers use to pay you by card without an invoice: you build it once, publish it, and every payment through that link becomes its own purchase. Create and manage your links in Money > Payment Links, where each row shows the link name, pricing, billing cadence, status, purchase count, and revenue, with actions to copy, activate or deactivate, archive, edit, and delete.
Payment links charge US Dollars by card only. ACH and Canadian dollars are not available through payment links.
Create a payment link
The builder walks through four steps: details, line items, extras, and preview. You need a link name and at least one line item before you can move past the first two steps.
Go to Money > Payment Links and start a new payment link. The builder opens to the details step, titled New Payment Link.
Enter the Name of Payment Link, then choose the Payment Cadence: a one-time payment, or a subscription. Currency is fixed to US Dollar ($) and payment type is fixed to Card. Click Next Step.
For a subscription, set the Repeat interval to weekly, monthly, or annual, then choose whether the subscription stops after a set number of billing periods or runs with no end date.
Add your line items under Create Line Items, or pick saved items from the Product Library panel next to it. Each line item needs a product name, quantity, and price; you can also add a description and a discount. Click Next Step.
On the extras step, add Sales Tax (optional) and Notes (optional – only displayed on sales receipt). Click Next Step.
Review Preview of your Payment Link Checkout, then click Publish Link and confirm in the Publish Payment Link dialog. Publishing returns you to the Payment Links page, where your link appears with its public URL ready to copy.
Share the link with customers
After publishing, copy the public checkout URL and send it to your customers by email, text, or any channel you like. Open the three-dot menu on the link's row in Money > Payment Links and select Copy link to clipboard.
Links are reusable. Multiple customers can pay through the same link, and each payment is a separate purchase. Payers provide their name, email, and phone number, then pay by card; they don't need a Mallow account. For the customer's side of the flow, see Pay through a payment link. A payer who isn't already one of your clients shows up in the Guest Customers tab on the Clients page, where you can convert or merge them; see Manage Guest Customers.
Edit a link
A link stays editable until its first payment. Open the three-dot menu on the link's row and select Edit to reopen the builder and change its details, line items, extras, or cadence.
After the first payment, edits are locked and the link can no longer be deleted. If you no longer want to collect payments, make the link inactive instead.
Stop, archive, or delete a link
Use the three-dot menu on the link's row in Money > Payment Links for all three actions:
Make Inactive stops new payments through the link. Make Active turns it back on.
Archive moves the link to the archived view of the Payment Links page. Archiving does not itself deactivate an otherwise active link, so make it inactive first if you also want to stop payments. Unarchive moves it back to the current view.
Delete is available only while a link has no purchases, and the confirmation warns that deletion is not reversible. Links that have collected a payment cannot be deleted; use Make Inactive to stop payments instead.
QuickBooks Online
Successful payment link purchases sync to QuickBooks Online as SalesReceipt records, using the payment link receipt number as the document number. See How Mallow syncs invoices and payments with QuickBooks Online for how that differs from the regular invoice flow.
