Sign or reject an agreement
When someone sends you a Mallow agreement, you receive an email with a secure link to the document. You do not need a Mallow account: open the link, review the document, complete the fields assigned to you, and then either sign. The sender is notified the moment you finish.
Open the agreement from your email
The email from the sender contains a secure link to your copy of the document. Click the link to open the signing page. No login is required; the link itself is your access to the document.
If you open the link after you have already signed, Mallow shows your signed copy instead of the signing page. If the document has been cancelled or deleted, the page shows a notice that the document is no longer available, along with the sender's contact email.
Review the document
The signing page is titled Review and Sign. It opens with a note from the sender asking you to read the entire document before filling out any fields or signing.
The document preview sits next to the field panel on desktop and below it on mobile. Fields assigned to you are highlighted in the preview; fields assigned to other signers are shown in gray and cannot be edited by you. Click Begin when you are ready to start.
Complete your assigned fields
Mallow walks you through your assigned fields one at a time and shows your progress as you go. Regular fields come first and the signature field comes last, so you finish by signing.
Depending on how the sender built the document, your fields can include:
Text, email, or number fields
A date, chosen from a date picker
A checkbox
A dropdown with options the sender configured
Initials, entered in the Your initials field
A Payment Method field, covered below
If a field has an explanation, it appears above the field. Fields marked * Required Field must be completed before you can continue; the Next button stays unavailable until the required field is filled in.
Add a payment method if the sender requested one
If the document includes a Payment Method field assigned to you, the field shows a request to add a payment method before completing the agreement. Click the field to open the Add a payment method dialog.
Enter your card or bank account details.
Check the authorization box. It states that by submitting the information you grant the sender a standing authorization to charge this payment method for outstanding balances, including scheduled subscription renewals and ad hoc service invoices, and explains how you can manage access to the payment method later.
Click Submit. While your details are being verified, the button shows Submitting...
If a detail is missing or wrong, the dialog tells you what to fix, such as the card details, the bank account details, or the unchecked authorization box. You cannot continue to the next field or sign the document until the payment method is stored.
Once your payment method is stored, the field confirms it: Payment Method ending in (last four digits) has been securely stored. The completed document never shows your card or bank details; it only notes that a payment method was securely stored by Mallow.
If the sender has not finished payment setup, the dialog tells you that you cannot add a payment method online yet and should contact them directly. Ask the sender to complete their payment setup, then return to the signing link.
Sign the document
The final step is your signature. On the signature screen, enter your full name in Your full name and check the legal acknowledgment, which confirms you have reviewed the document, understand that your electronic signature is legally binding, and are the authorized signatory.
Click Sign Document.
Confirm your electronic signature in the dialog that opens by clicking Confirm. This is the action that submits your signature.
You will then see a confirmation that your electronic signature is complete. The downloadable copy arrives by email once every party has signed; until then, there is nothing to download from the confirmation page, so you can close the tab.
When all parties have signed, you receive an email with a link to the completed document. From there you can view everyone who signed, the document's audit history, and click Download Copy to save or print your copy. See Audit trails on completed agreements for what the audit trail contains.
Reject the agreement
If you do not want to sign, click Reject, which is available on the first instructions page and on the signature screen.
Click Reject.
In the confirmation dialog, enter why you are rejecting the document. A reason is required: Reject document stays unavailable until you enter one.
Click Reject document.
Your message is sent to the document owner, and a confirmation page lets you know you can close the page. On the sender's side, the agreement is marked Rejected and they can read your message through their rejection feedback view.
If you have questions about the document
The sender is the document owner, so contact them directly with questions about the agreement's contents or terms. The email that contained your signing link identifies the sender and their support email.
